Case study

Worked example: a small firm's review workflow

This accounting firm workflow example follows a four-person practice using TaxOrch client workspaces. Documents come in through intake, TaxOrch prepares drafts that stay at needs-review, a reviewer signs them off, and the final pack is locked. Every answer and action is recorded in an audit log the firm can replay later.

About this case study

The situation

A small accounting practice with two preparers, a reviewing partner and an administrator serves sole traders and small companies. Client documents arrived by email and shared folders, and the partner had no single record of who prepared what, or which figures had been checked.

What they needed

  • One place per client for documents, drafts and questions.
  • No draft reaching a client before a qualified person reviewed it.
  • A record of each answer and action for their own due-diligence file.
  • Client data never used beyond the firm's own work.

How TaxOrch handled it

  1. 1IntakeEach client got a workspace. Uploaded documents were read and checked for missing pieces, and gaps became questions to the client.
  2. 2Draft at needs-reviewTaxOrch prepared calculations and working papers, each figure from a exact calculator and each rule cited to an official document. Drafts stayed at needs-review.
  3. 3Reviewer sign-offThe partner reviewed each draft, changed or queried what needed it, and approved it. No journal entry posted without that approval.
  4. 4Immutable final packOnce approved, the final pack was locked and marked as not filed, ready for the firm to file through its own software.
  5. 5Audit logEvery answer and action was logged with recorded versions, so an answer could be replayed as it was given.

The result

No time savings, costs or other figures are claimed for this example: nothing here was measured at a real firm, and we do not publish an estimate as if it were a measured result.

What TaxOrch did not do

  • It did not file any return or send any payment.
  • It did not send drafts to clients without approval.
  • Client data stayed within the firm's workspace.
  • It did not replace the partner's professional judgement.

Frequently asked questions

Can a draft reach a client before review?

Not in this workflow. Drafts stay at needs-review until a reviewer approves them, and no journal entry posts without a person approving it.

Is client data used to train models?

No, not without explicit opt-in.

What does the audit log record?

Every answer and action, with recorded versions so an answer can be replayed as it was originally given.
